Most Indian developers now run Facebook and Instagram lead ads for every launch. The leads are cheap compared with many channels. They are also perishable. A person who filled your form while scrolling at 9 pm has moved on by 9:30. If your team calls the next morning, many of those leads will not pick up, and some will already have spoken to a competitor.
This playbook explains how to get a first call to every Meta lead within five minutes during working hours, and what to do in the minutes and days after. It is written for promoters, sales heads and pre-sales managers who run their own campaigns or work with an agency.
01Why the first few minutes matter
A widely cited study published in Harvard Business Review in 2011 looked at how quickly companies responded to web leads. Firms that tried to contact a lead within an hour were nearly seven times as likely to qualify it as firms that tried even an hour later. The study covered web leads across industries in the US. To see the effect on your own leads, compare contact and visit rates for leads called within five minutes against leads called later.
Three things make speed especially important for Meta leads:
- Low effort to submit. Meta's form is pre-filled. A person can submit in seconds without much thought. Their memory of your ad fades just as fast.
- Parallel enquiries. Buyers who are serious often enquire on several projects in the same evening. The first developer to have a useful conversation sets the frame for the rest.
- Phone habits. Unknown numbers get ignored more as time passes. A call that arrives while the person is still on their phone, and still remembers the ad, is far more likely to be answered.
Five minutes is a target for working hours. For leads that arrive at night, the goal is a polite acknowledgement immediately and a call at the start of the next working window.
02Step 1: Get leads out of Meta instantly
Many teams still download a CSV from Meta Ads Manager once or twice a day. By the time a rep sees the lead, the five-minute window has passed several hundred times over. The fix is to connect your lead forms to your CRM so each lead arrives within seconds.
- Connect each Facebook Page and lead form to your CRM through Meta's official integration or a webhook.
- Map form fields (name, phone, budget, configuration, location) to CRM fields. Free-text answers should still be saved.
- Store the campaign, ad set, ad and form name on the lead. You will need them to judge campaigns by bookings later.
- Test with a real submission after every new form. Broken mappings are common and silent.

03Step 2: Route every lead to a person who can call now
Speed fails most often at assignment. A lead sits in a shared inbox until someone claims it. Set rules so every lead has an owner the moment it arrives.
- Round robin by project. Rotate among reps who are on duty for that project.
- Language. If a form captures preferred language, route Marathi or Hindi speakers to reps who are comfortable in it.
- Working hours. Only route to reps who are on shift. Leads outside hours go to a morning queue.
- Escalation. If the owner has not attempted a call in 10 minutes, reassign or alert the team lead.
04Step 3: The first call
The first call has one job: confirm interest and book a site visit, or at least a second conversation. It is too early for a pitch.
A simple structure that works
- Open with context. 'Hello, this is Priya from [Project] in Baner. You just enquired on Instagram about our 2 BHK homes. Is this a good time for two minutes?'
- Confirm what they saw. Ask which configuration and budget they had in mind. Repeat back what they say.
- Ask three qualifying questions. Budget range, timeline to buy, and whether they plan a home loan. Do not interrogate.
- Offer one useful thing. The price range for their configuration, the possession date as registered with RERA, or the nearest landmark.
- Ask for a specific visit slot. 'We have slots on Saturday at 11 or Sunday at 4. Which suits you?' A specific choice converts better than 'when would you like to visit?'

05Step 4: When the lead does not answer
Many Meta leads will not answer the first call. A fixed sequence of attempts across call and WhatsApp catches a large share of them. The table below is a starting point. Adjust it to your market and test.

06Step 5: Design forms that bring better leads
Your form shapes who submits. Meta lets you choose between a form built for more volume and one built for higher intent, which adds a review step before submission. Adding one or two questions also filters casual submissions.
- Ask budget as ranges that match your price list, for example ₹60 to 80 lakh, ₹80 lakh to ₹1 crore.
- Ask configuration: 1, 2 or 3 BHK.
- Ask timeline: within 3 months, 3 to 6 months, later.
- Add a short line on the intro screen with the location and starting price, so people far outside your budget do not submit.
- Include your RERA registration number in the ad creative and on the form intro, as Section 11(2) of the RERA Act requires registration details in advertisements.
Expect fewer leads after adding questions. Judge the change by visits and bookings per rupee, not by lead count.
07Step 6: Measure what matters
Track these numbers weekly, per campaign and per rep:

Median response time is more honest than average, because a few leads called after two days distort the average. Look at the slowest 10% too. That is where the process breaks.
08Common mistakes
- Calling from a different number each time, so the buyer cannot recognise you.
- Asking the buyer to repeat what they already filled in the form.
- Sending a long brochure PDF as the first WhatsApp message with no context.
- Letting reps pick leads they like from a shared pool. The rest go stale.
- Judging campaigns by cost per lead alone.
